How this application uses your data
Application forms collect your name, email, country, city, participant category, experience and motivation. Institution and notes are optional. Additional reporting fields, if enabled for an event, are shown in the form.
The project team uses this information to review applications, manage selection and attendance, and send receipt and status notifications. Records are stored in the project database and are accessible only to authorised administrators. CSV exports are available to those administrators.
Email and contact messages
Email jobs store the recipient address and message until managed by the project operator. Messages are sent through the configured SMTP service. A sending failure does not remove your application. The contact form stores your name, email and message for the project team.
Photographs and cookies
Photo consent is optional, recorded separately and does not affect submission. The site uses essential session cookies for administrator sign-in. It does not install analytics or advertising trackers.
Retention and requests
The project operator must confirm the retention period and the complete privacy notice before opening public applications. No automatic deletion period is currently configured.
